Analyzing Business Processes and IT Systems in the Global Medical Affairs Department
Starting Point
- Confrontation with a non-homogeneous and historically grown landscape of global and local processes, as a result of which the inquiries related to the Medical Affairs (MA) area and the regulatory obligations could no longer be served without problems.
- The IT architecture established to support the processes was partially deficient or not integrated in terms of functionality. This resulted in a large number of overlapping and redundant processes, overlapping functionalities and functional gaps, some of which were bridged by inefficient and faulty manual interfaces.
- A comprehensive analysis was required to find options for improvement and restructuring as well as to derive the requirements for an integrated process/IT architecture.
Approach
- Comprehensive analysis of MA processes and established IT architecture; the following artifacts were created:
- High level process map (process overview),
- Detailed documentation of the MA core processes,
- Overview of the established IT architecture.
- Conducting further workshops and stakeholder interviews (from management level to end users) on the basis of an extensive document analysis.
- Consolidation and analysis of the results to derive recommendations for improvement.

- Processes documented in BPMN 2.0 including the supporting IT systems.
- Identification of improvement potentials (processes, IT, organization).
- Project profiles (critical success factors, activities, timing, resource requirements, expected benefits, quick wins).
